This policy explains what personal information Greenside Media Limited collects, how we use it, and the choices and rights you have.

01Who we are

This website is run by Greenside Media Limited (“Greenside Media”, “we”, “us”, “our”), a golf marketing and creative agency based in Durham, UK. We are a private limited company registered in England and Wales under company number 16719140.

For the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, we are the controller of the personal information described in this policy. If you have any questions, email info@greenside-media.co.uk.

02Information we collect

Information you give us. When you fill in a form on our site, book a free club review, sign up to our newsletter, email or phone us, or work with us, we may collect:

  • your name, job title and the golf club or business you represent
  • contact details such as email address and phone number
  • the content of your messages and any information you share about your club or business
  • billing and contract details if you become a client

Information collected automatically. When you visit our site we, and the services we use, may collect technical information such as your IP address, browser and device type, the pages you view, how you arrived at the site and how you interact with it. Some of this is collected using cookies and similar technologies (see section 5).

Information from other sources. We may use publicly available business information, such as a golf club’s website, social media channels and published contact details, when researching clubs we think could benefit from our services.

03How we use it

We only use your personal information where the law allows us to. The table below sets out what we use it for and the legal basis we rely on.

We do not sell your personal information, and we do not make decisions about you based solely on automated processing.

04Marketing

If you sign up to our newsletter, we will send you news, ideas and updates about golf club marketing. We may also contact golf clubs and golf businesses at their business contact details where we reasonably believe our services are relevant.

You can opt out at any time by clicking the unsubscribe link in any email or by emailing info@greenside-media.co.uk. We will keep a record of your request so we don’t contact you again.

05Cookies and analytics

Cookies are small files stored on your device. Our website uses:

  • Essential cookies that are needed for the site to work, such as security and form functionality (including Google reCAPTCHA, which helps protect our forms from spam).
  • Analytics cookies from Google Analytics, which help us understand how visitors use the site so we can improve it.
  • Marketing cookies such as the Meta Pixel, which help us measure the performance of our adverts on Facebook and Instagram and show relevant adverts to people who have visited our site.

We only use non-essential cookies with your consent. You can change your cookie choices at any time, and you can also block or delete cookies through your browser settings. Blocking some cookies may affect how the site works.

06Who we share it with

We share personal information only where needed, with trusted providers who act on our instructions, including:

  • our website platform and hosting provider (Squarespace)
  • email marketing, CRM, booking and contract tools we use to manage enquiries and clients
  • analytics and advertising platforms (Google and Meta)
  • our accountants, banks and professional advisers

We may also share information if required by law, to protect our rights, or as part of the sale or restructuring of our business.

07International transfers

Some of our providers are based in, or store data in, countries outside the UK, including the United States. Where this happens, we make sure appropriate safeguards are in place, such as UK adequacy regulations, the UK Extension to the EU-US Data Privacy Framework, or the UK International Data Transfer Agreement or Addendum.

08How long we keep it

We keep personal information only for as long as we need it:

  • Enquiries that don’t lead to work: up to 2 years after our last contact.
  • Client records: for the length of our relationship and then 6 years, to meet tax and legal requirements.
  • Newsletter subscribers: until you unsubscribe, after which we keep a suppression record so we don’t email you again.
  • Analytics data: in line with the retention settings of the relevant provider.

09Keeping it secure

We use appropriate technical and organisational measures to protect your personal information, including secure, password-protected systems and limiting access to those who need it. No method of transmission over the internet is completely secure, but we work to protect your information and will act promptly if a problem arises.

10Your rights

Under data protection law you have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct information that is inaccurate or incomplete
  • ask us to delete your information
  • ask us to restrict how we use your information
  • object to us using your information, including for direct marketing
  • ask us to transfer your information to another organisation
  • withdraw your consent at any time, where we rely on consent

To make a request, email info@greenside-media.co.uk. There is usually no charge, and we will respond within one month. We may need to confirm your identity first.

11Complaints

If you have a concern about how we handle your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or on 0303 123 1113.

12Changes and other sites

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated shown at the top.

Our site may link to other websites, such as our clients’ sites and social media channels. We are not responsible for how those sites handle your information, so please read their privacy policies.
